How We Handle Your Information

We Don't Handle Patient Health Data
Dental Marketing Heroes provides marketing services to your practice — we do not access, store, or process your patients' protected health information (PHI). Any patient-facing marketing assets we build (review requests, forms) are designed to avoid collecting clinical information.
PIPEDA-Governed Data Handling
As a Canadian company (a brand of Outsourced Marketing Inc.), we handle personal information in accordance with PIPEDA, with GDPR/CCPA principles applied for clients based in the EU/UK or California, consistent with our disclosed corporate relationship as Outsourced Marketing Inc. DBA Dental Marketing Heroes.
US Clients: Data Handling & Email
For clients and contacts based in the United States, we apply the same data handling standards described in this policy. All email communications we send — including newsletters, marketing emails, and campaign materials produced on your behalf — comply with the CAN-SPAM Act: every message includes a clear sender identification, a physical mailing address, and an easy one-click unsubscribe mechanism. Opt-out requests are honoured within 10 business days.
If you are a US-based client in California, you are also entitled to the rights described under CCPA/CPRA in the "Your Data Protection Rights" section below — including the right to know what personal information we collect, the right to delete it, and the right to opt out of any sale (we do not sell personal information).

We retain practice and prospect data for as long as our business relationship is active, plus a reasonable period afterward for tax, legal, and accounting requirements.
We share information only with the specific categories of third parties necessary to deliver our services: website hosting and CDN providers, our CRM and email marketing platform, our payment processor, and analytics providers (e.g., Google Analytics) used to measure campaign performance. We never sell your personal information, and this policy applies equally under our parent company, Outsourced Marketing Inc.
